To correct a Form W-2 with an incorrect SSN (and/or employee name), simply complete boxes d – i on Form W-2c. These boxes show what you previously reported for the employee’s name and SSN as well as the corrections. You do not need to touch the federal, state, or local wage and tax boxes.
Does your W-2 show your Social Security number?
Your Social Security Number (SSN) is reported in box (a). You should always double-check this to make sure it’s correct. If it’s not correct, you need to request a new form W-2 from your employer. An error could slow the processing of your return.
Does W-2 need employee SSN?
You are required to get each employee’s name and SSN and to enter them on Form W-2. You may, but are not required to, photocopy the social security card if the employee provides it. If you do not provide the correct employee name and SSN on Form W-2, you may owe a penalty unless you have reasonable cause.
What happens if an employer does not include the correct SSN on Form W-2?
If an employer receives an IRS penalty notice for failing to include the employee’s correct SSN on Form W-2, the employer may seek a waiver of the penalty based on the employee’s failure to provide the correct SSN.
When do you need to correct a Form W-2?
To correct a Form W-2 you have already submitted, file a Form W-2c with a separate Form W-3c for each year needing correction. File a Form W-3c whenever you file a Form W-2c, even if you are only filing a Form W-2c to correct an employee’s name or Social Security number (SSN). Follow the General Instructions for Forms W-2c/W-3c.
Do you have to change Ssn on W-2c?
Oh – you are correct, your SSN is auto-populated from your personal information so you really do not need to change anything – it is already correct on your return. The W-2C will be sent to the IRS so that it will match what is on return.
What happens if my employer entered the wrong Social Security number?
It will not sort out on it’s own. The IRS gets copy of the W-2 and so does the Social Security Administration. Your SS tax payments will not get credited to you if the wrong SSN is on the W-2. If your employer refuses to fix the error, then contact the IRS for assistance.
